3. What Data We Collect

Event Registration: Full name and email address — to register attendance and manage event logistics.
Feedback Form: Full name, email address, individual type (undergraduate, graduate, exchange student, professor, faculty), and department (Psychology, International Relations, Business Administration, Strategic Communications, Computer Science) — to receive and act on community feedback.
Clubs Page: No personal data is collected. The page provides external links to WhatsApp groups (see Section 9).

All data is collected through voluntary form submissions only.

4. Legal Basis

We process your data based on your consent (Art. 6(1)(a) GDPR). By submitting a form, you consent to processing for the stated purposes. You may withdraw consent at any time by contacting sga@webster.ac.at. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

5. Data Sharing

Your data may be shared with:

Webster Vienna Private University (WVPU) — when relevant to university operations, upon the University's request, or to carry out changes based on feedback provided. WVPU processes such data as a separate controller under its own policies.

We do not sell or disclose your data to any other third parties unless required by law.

6. International Data Transfers

7. Data Retention

Event registration data: Retained until the end of the semester in which the event took place, then deleted.
Feedback form data: Retained indefinitely for ongoing institutional improvement, unless you request deletion.

You may request deletion at any time by contacting us. For data already shared with WVPU, contact WVPU directly.
